Privacy Policy

This policy explains what personal information Impacter collects, why, where it is kept, and what you can do about it. Impacter is the trading name of Impaktr Academy Pty Ltd, run by Dr Yannick van Hierden in Queensland, Australia. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

The short version

  • We only collect what you give us, plus basic information about how you use this website.
  • We use it to send you what you asked for, to work with you as a client, and to tell you about our programs. You can unsubscribe at any time.
  • We never sell your information.
  • We use trusted software providers to run the business, including AI tools. Some of them store data outside Australia. They are listed below.
  • You can ask to see, correct or delete your information by emailing yannick@impacter.com.au.

What we collect

When you fill in a form, scorecard or application. Your name, email address and, where asked, your phone number, business name, role, revenue range, team size, location, and your answers to the questions. Scorecard and application answers can include information about your work habits, stress, energy, sleep, health and family life.

When you book a call. Your name, email address, the time you booked and anything you write in the booking form.

When you become a client. Everything above, plus what you share during coaching: notes, messages, documents, and recordings and transcripts of our calls. Coaching conversations often touch on health, wellbeing and personal circumstances. We treat that as sensitive information and only collect it with your consent, because it is needed to coach you.

When you buy something. Your name, email address and billing details. Card payments are handled by our payment providers. We never see or store your full card number.

When you message us. The content of your email or LinkedIn messages.

When you use this website. Your IP address, browser and device type, the pages you visit, how you arrived, and similar usage information, collected through cookies, analytics and advertising pixels (see "Cookies and advertising" below).

You don't have to give us any of this. If you'd rather not, we may not be able to send you a resource or work with you.

How we use it

  • To send you the scorecard results, resources or replays you asked for.
  • To review your application and decide whether we are a good fit.
  • To deliver coaching: preparing for sessions, keeping notes, summarising calls and sending you recaps.
  • To send you emails about our content, programs and events. Every email has an unsubscribe link.
  • To run and improve the website and our advertising, and to understand which content and ads are useful.
  • To manage invoices, payments and our business records.
  • To meet our legal obligations.

We don't use your information for any other purpose unless you would reasonably expect it, you agree, or the law requires or allows it.

AI tools

We use AI tools, including Claude by Anthropic, to help run the business: for example to summarise coaching calls, draft recaps and emails, organise notes, and analyse scorecard results in aggregate. When we do, the relevant information is processed by that provider on our behalf.

  • We use AI to support our work, not to make decisions about you on its own. A person reviews what the AI produces before it is used.
  • We set up our AI tools so that your information is not used to train their public models.
  • We only share what is needed for the task.

Who we share it with

We don't sell, rent or trade your personal information. We share it only with service providers that help us run the business, and only for the purposes above. These include providers of:

  • Our course, email and payment platform (Kajabi, with payments processed by Stripe)
  • Scorecards and quizzes (ScoreApp) and the tools that connect them to our email list
  • Email, calendar, documents and storage (Google Workspace)
  • Booking calls (Calendly)
  • Call recording and transcripts (Fathom)
  • Notes and client records (Notion)
  • AI assistance (Anthropic)
  • Website hosting and security (Vercel, Cloudflare)
  • Website analytics and advertising (Google Analytics and, where we advertise, Meta and OpenAI)
  • Our own automation server, which moves information between these tools

We may also share information if the law requires it, or to protect our rights or someone's safety.

Information stored outside Australia

Most of the providers above are based overseas, so your information is likely to be stored or processed outside Australia, mainly in the United States, and also in the United Kingdom, the European Union and other countries where these providers keep their servers. We choose established providers with strong security practices and contract terms. By giving us your information, you agree to it being handled overseas in this way.

Cookies and advertising

This website uses cookies and similar technology to understand how people use it (Google Analytics) and, when we run ads, to measure them and show our ads to people who have visited (for example the Meta pixel and OpenAI's ad tracking). You can block or delete cookies in your browser settings, and the site will still work. You can also:

How we keep it safe

We protect your information with secure, access-controlled accounts, two-step login and encrypted connections. Only Dr Yannick van Hierden and people helping him under a duty of confidentiality can access client information. No system is perfectly secure, but if a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as the law requires.

How long we keep it

  • Leads and subscribers: until you unsubscribe or ask us to delete it, or after about three years without any contact from you.
  • Client records, including call recordings and transcripts: for the time we work together and up to seven years afterwards, so we can meet our tax and record-keeping obligations. Call recordings themselves are deleted sooner if you ask.

After that we delete or de-identify it.

Your choices and rights

You can ask to access the personal information we hold about you, to correct it, or to delete it. Email yannick@impacter.com.au. We will reply within 30 days. We may need to confirm who you are first, and in rare cases the law lets us refuse a request. If so, we will tell you why.

You can unsubscribe from our emails at any time using the link at the bottom of any email.

Complaints

If you think we have mishandled your information, please email yannick@impacter.com.au first and we will try to fix it within 30 days. If you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner at https://www.oaic.gov.au.

Changes to this policy

We will update this policy when our practices change. The date at the top shows when it last changed.
